What is the best NDIS software?
There is no single best NDIS software, and anyone who gives you one is selling it. The platforms are priced on different meters, and the meter is what decides your cost.

A provider adding workers should avoid a per-user meter. A provider adding participants should avoid a per-client meter. That single decision usually matters more than any feature on any comparison table.

The last row is the one worth studying: a support coordination practice with few staff and many participants pays roughly nine times more on a per-client meter than a per-user one. Read down the two middle columns and the pattern is obvious. Neither meter is better. They fail in opposite directions, and which one fails for you depends entirely on the shape of your business.
If you are a support coordination practice, a per-user platform is almost certainly your lowest-cost option and we would say so. If you run supported independent living with a big casual pool and a steady participant list, a per-client platform will serve you well. If both numbers are climbing together, which is the normal shape of a growing provider, a flat plan is the only model that does not penalise the growth.

Five questions worth answering before you shortlist.
1. Which is growing faster, your staff or your participants? The answer rules out one pricing model immediately.
2. Do you deliver anything outside the NDIS? If aged care or allied health is meaningful revenue, narrow to platforms that cover it properly rather than adapting.
3. Does the price include GST, and is there a setup fee? Two vendors on this page differ on both. A headline rate is not a monthly cost.
4. What happens when you need a change after go-live? On enterprise platforms that is often billable work. On self-serve platforms it is a setting. Ask before you sign.
5. Can you export your own data? Ask every vendor how you would leave. The answer tells you a great deal about how they expect to keep you.

How much does NDIS software cost in Australia?
Published list prices as at September 2026 range from about $4 per client per month to about $20 per user per month, with enterprise platforms quoted on application. A provider with twenty staff and fifty participants would pay roughly $260 a month on a per-user platform at $13 per user, or about $225 a month excluding GST on a per-client platform at $4.49 per client. Flat-plan platforms charge one fee regardless. Always check whether a quoted price includes GST and whether a setup fee applies.
Is there free NDIS software?
Not in any serious form. Several vendors offer free trials, typically seven days to a month, and some offer a low first-month rate. Free spreadsheet-based approaches exist but they cannot bill against the NDIS price guide, generate bulk claim files or hold the evidence the NDIS Commission expects, which is where the real cost of running without a system shows up.
Which NDIS software is best for a small provider or sole trader?
For a sole trader or a provider with fewer than about five staff, per-user pricing is usually the lowest cost, because you are only paying for the handful of logins you need. The calculation changes once you pass roughly ten support workers, at which point a flat plan or a per-client model generally costs less. Start by counting your logins and your active participants, because those two numbers decide the answer.
Can I switch NDIS software without losing my data?
Yes, in most cases. Participant records, staff records and historical progress notes can usually be exported and imported. The parts that rarely transfer cleanly are payroll pay rules and custom forms, which normally need rebuilding in the new system. Plan for a fortnight where both systems run in parallel before you move the live roster across.
